Done typing into Zoho?

PlatformPilot reads your email and chat, keeps your people, companies and deals current, and shows you the message behind every change. It asks before it changes a record, and after five approvals in a row it can work alone.

Every Zoho claim on this page links to Zoho's own pages.

A deal in PlatformPilot, as the app draws it: an agent proposes a new amount and close date for the Halden Freight renewal, and nothing changes until you approve.

Rules you write, or mail it reads.

On Zoho CRM, email fills in a record by itself only through parsing rules an admin writes, on Enterprise and up. On PlatformPilot, you read what changed and why, and approve it.

On Zoho CRM

4 steps for each kind of email
  1. Move up to Enterprise, for the Email Parser.
  2. Highlight the parts of an email template.
  3. Map each part to a field.
  4. Do it again for every kind of email.

Zoho's Email Parser reads up to 2,000 emails a day for the whole organization: Email Parser.

On PlatformPilot

2 steps for each update
  1. Read the proposed update and the email behind it.
  2. Approve.

Later, not even that. After five approvals in a row, it can work alone.

Zoho sells it by edition.

Each edition unlocks a little more of the CRM. Every licence is billed, used or not. And Zoho keeps the encryption keys.

  1. Standard

$14a user a month, billed yearly

    • Stops at 100,000 records
    • Zia's agents and email AI start on Professional
  2. Professional

$23a user a month, billed yearly

    • No Email Parser or SalesInbox
    • No field encryption
  3. Enterprise

$40a user a month, billed yearly

    • Email Parser and SalesInbox
    • Encrypts up to 10 custom fields a module
  4. Ultimate

$52a user a month, billed yearly

    • The highest limits Zoho sells
    • Encrypts up to 20 custom fields a module

Prices before tax, as Zoho CRM pricing and its editions listed them on Oct 25, 2026. The Free edition is for up to 3 users.

Workflows, emails and API calls have limits too: everything Zoho counts.

Deactivated? Still billed.

Zoho “charges based on the total number of user licenses purchased for your account,” whether each person is active or not. Deactivating someone doesn't lower the bill: you lower the licence count yourself.

Zoho CRM: Billing and payments FAQ

Your own key? Zoho keeps it.

Zoho CRM's keys are “generated and maintained by our in-house Key Management Service,” and “Only Custom fields can be encrypted,” from Enterprise up. Zoho sells bringing your own key through Zoho Directory, and doesn't say it covers the CRM. On PlatformPilot your key is on every plan, in your own Google Cloud.

PlatformPilot sells it whole.

Every plan has all of it, from one person to your whole company. No add-on for your key. No higher plan for the Brain.

Switch in three steps.

  1. Connect Zoho CRM over MCP.

Add Zoho's own MCP server to PlatformPilot and sign in. Nothing to export.

  2. Ask your agent to bring it all over.

It reads your modules and adds your contacts, accounts and deals as people, companies and deals.

  3. Connect your mail and chat.

Gmail or Outlook, Slack or Teams. From then on, it learns from the work itself.

Running Zoho Desk or Zoho Projects too? Tickets keeps client work in the same CRM as the clients it's for, on the same bill: Zoho One alternative.

Before you switch.

Why switch from Zoho CRM to PlatformPilot?

To stop typing your deals in, or writing rules to parse your email. PlatformPilot learns from your email and chat, shows where every fact came from, asks before it changes a record, keeps client work in Tickets, and keeps your encryption key in your own Google Cloud on every plan.

How much does Zoho CRM cost?

$14, $23, $40 or $52 a user a month on Standard, Professional, Enterprise or Ultimate, billed yearly, or $20, $35, $50 or $65 billed monthly. The Free edition is for up to 3 users (Zoho CRM editions compared).

Does Zoho charge for inactive users?

Yes. Zoho bills every licence you bought, active or not. To stop paying for someone you deactivated, you lower the licence count yourself (Zoho billing FAQ).

Can Zoho CRM update records from email?

Through its Email Parser, on Enterprise and up: an admin highlights the parts of an email template and maps them to fields, for up to 2,000 emails a day per organization (Email Parser). Zia can suggest an activity from an email, and a person saves it.

Is there a free version of Zoho CRM?

Yes, for up to 3 users and 5,000 records, without email integration or Zia (Zoho CRM editions compared). The paid editions have a 15-day trial.

How do I move my data from Zoho CRM?

Connect Zoho's MCP server to PlatformPilot and ask your agent to bring your modules over: your contacts, accounts and deals come in as people, companies and deals. Nothing to export, and the reads count against your Zoho edition's API limits (Zoho CRM MCP servers).

Can I hold my own encryption key in Zoho CRM?

By default Zoho's own key service holds the CRM's keys, and only custom fields can be encrypted, from Enterprise up (Data encryption in Zoho CRM). Zoho sells bringing your own key through Zoho Directory, and doesn't say it covers the CRM.

Do I need Zoho One for a helpdesk and projects?

Zoho sells them as Zoho Desk and Zoho Projects, each with its own licences, or together in Zoho One. PlatformPilot's Tickets is part of its CRM: Zoho One alternative.
